Job Description for MAPA Board

Metropolitan Activity Professional Association

 

Job Summary:

The Hospitality Chair shall secure in-person workshops/sessions/sites. 

They will coordinate details with hosting sites, assist in event setup, 

take down and support of technology/equipment as needed.

 

Term of Office:

Is a voting member with a term length of at least one year, terms have no limits on years served.

Terms to run in conjunction with elected positions.

 

Responsible To:

The Executive Board of MAPA membership.

 

Requirements:

  1. Professional attitude.
  2. Honesty.
  3. Goal minded, keeping the MAPA mission and objectives upper most in mind.
  4. Good organizational, grammatical, communication and leadership skills.
  5. Member in good standing of MAPA.
  6. Perform duties and responsibilities of their position in an ethical manner as relates to the By-laws, policy and job description.
  7. Be prepared to give report or address issues as called upon at MAPA meetings/sessions.
  8. Computer knowledge and access to a computer.

 

Time Commitment:

 4+ Board Meetings

 5 Workshops/Sessions(1/2 & Full Days)

 Other___________

 Approximately _5+_ hours per month

 

Responsibilities:

  1. Attend all Executive Board meetings.
  2. Promote and uphold the By-laws, goals, mission, and objectives of the MAPA organization and provide direction for the future goals of MAPA.
  3. Maintain an organizational file of appropriate documents, minutes, letters and other association information.
  4. Submit appropriate expenses to the Treasurer for reimbursement with prior approval of President. Staying within the budget allotment.
  5. Review and update this job description as needed at the First Board Meeting of the year.
  6. Take an active role in the board.
  7. Submit MAPA articles on time.
  8. Find sites for in-person workshops/sessions/meetings.
    1. Send letter to upcoming hosting facility requesting and review of information for workshop (map, parking, lunch cost, space and equipment needs, etc…)
    2. Review information upon response from hosting facility.
    3. Provide maps, parking instructions and luncheon information to Communications Chair from information received from hosting site.
    4. Be at host facility early to set up prior to start of session. (30+ minutes before registration starts.)
    5. Be prepared to assist with registration and welcoming members.
    6. Be aware of other housekeeping issues such as: location of bathrooms, pop machines, smoking areas, etc.
    7. Be prepared to give a short report at business meeting (numbers of people in attendance and update on site needs.)
    8. Follow up with a “Thank you” note to the site.
    9. Communicate with Education Chair for speakers needs (ex. A/V equipment, room set-up, etc.)
  9. Prepare an Annual Report (Location, date) to be submitted at the year end board meeting, with a copy to the President.
