Job Summary

 The President of MAPA shall preside over all membership Business meetings,

 Executive Board meetings, shall direct the affairs of this association as its chief

 administrative officer, shall be the ex-official member of all committees, and shall

 appoint members to fill vacancies of offices between elections.

 

Term of Office

The President is voting member and elected term length of 2 years plus 1 year as  Post President, and may serve multiple terms as elected. Elections will take place at the Fall Business Meeting. Then a transition period will take place with the out- going officers to include an orientation of position and transfer of files. Will take full MAPA office responsibility before January 1st of the new ‘even’ membership year.

The Executive Boards of MAPA and MNSWAP and their memberships.

Responsibilities

  • Attend all Executive Board meetings and special meetings.

  • Update with the Secretary of State non-profit status (Annually in Dec.)

  • Promote and uphold the By-laws, goals, mission, and objectives of the MAPA organization and provide direction for the future goals of MAPA.

  • Maintain an organizational file of appropriate documents, minutes, letters and other association information.

  • Appoint replacement board member(s), or complete the term if position should be vacated with approval of the Board.

  • Submit appropriate expenses to the Treasurer for reimbursement.

  • Review and update this job description as needed at the first Board Meeting of the year.

  • Take an active role in the board.

  • Submit MAPA articles on time.

  • Preside over all Executive Board meeting and Business membership meetings.

  • Preside over MAPA workshops/sessions.

  • Formulate and distribute agenda/order of business for the above meetings to all Board members.

  • Greet and orientate new Board Members to their newly acquired position.

  • Approve Board members absence prior to any MAPA meetings/sessions/workshops.

  • Perform special projects as requested and able.

  • Prepare an Annual Report to be submitted at the year-end board meeting.

  • Maintain a list of all year-end reports from Board members.

  • Oversee committee members and their functions.

  • Work with Treasurer on MAPA Budget for each year.

  • Be prepared to assist with registration when needed (in-person events).

  • At the beginning of each session/workshop, introduce yourself and talk of any updates, welcoming MAPA members, etc.

Vice
President

Job Summary

The Vice President of MAPA shall represent the Region 6 (MAPA) of MNSWAP.
Shall perform the duties of President in her/his absence and complete the President’s term if she/he is unable to do so.
 

Term of Office

The Vice President is voting member and elected term length of 2 years, and may serve multiple terms as elected.

Elections will take place at the Fall Business Meeting. Then a transition period will take place with the out-going officers.

Transition to include an orientation of position and transfer of files. Vice President will be sworn in as Region 6

Representative at the state level at the October conference business meeting and will take full MAPA office responsibility

before January 1st of the new ‘odd’ membership year.

  • Review and update this job description as needed at the first Board meeting of the year.

  • Take an active role in the board

  • Submit MAPA and MNSWAP articles on time.

Treasurer

Job Summary

The Treasurer of MAPA shall keep records of all cash flow within MAPA.

Keep in contact with Membership Chair. Maintain a current listing of paid members.

Keep board members informed of financial records including bottom line and budget limits.

The Treasurer is voting member and elected term length of 2 years and may serve multiple terms as elected.

Treasurer Responsibilities

  • Record, receipt and enter all incoming funds to the association.

  • Record payment of all expenditures of the association.

  • Maintain the financial records of the association and maintain a file of all check request vouchers.

  • Prepare checks for payment of vouchers within ten (10) days of receiving vouchers. Present vouchers and receipts to the President for approval and signature. Mail appropriate payments.

  • Assist the President with the development of the yearly budget and prepare quarterly reports to be presented to the Executive Board Members for review and approval.

  • Prepare the yearly financial report, with a copy to the President.

  • Assist with registration, receiving payment for new memberships and workshop fees.

  • Make arrangements with a federally insured financial institution for the association’s checking account which includes: making arrangements for the checks to be signed by either the Treasurer or President (within 10 days of the transfer of position). In addition, make any necessary adjustments in the address or signatures needed as the need arises.

Membership

Job Summary

The Membership Chair shall accept new memberships, maintain current listing,

organize membership drive, and will promote membership in MAPA.

Job Summary
The Marketing Chair shall be responsible for upholding the mission, goals and values of MAPA by identifying and strategically creating opportunities for the exposure and growth of MAPA, both externally and within the membership. This is an integral chair that works collaboratively with all board positions to ensure adherence to brand standards, marketing goals and best-practices.

The Marketing Chair is an elected position with a term length of at least one year. Terms have no limits on years served. Terms to run in conjunction with elected positions.

  • Prepare an Annual Report (approximately how many email addresses we send the newsletter to, any major changes that were made to the newsletter or website) to be submitted at the year-end board meeting, with a copy to the President.

Hospitality

Job Summary

The Hospitality Chair shall secure in-person workshops/sessions/sites. 

They will coordinate details with hosting sites, assist in event setup, 

take down and support of technology/equipment as needed.

 

Term of Office

Terms to run in conjunction with elected positions.

  • Find sites for in-person workshops/sessions/meetings.

  • Send letter to upcoming hosting facility requesting and review of information for workshop (map, parking, lunch cost, space and equipment needs, etc…)

  • Review information upon response from hosting facility.

  • Provide maps, parking instructions and luncheon information to Communications Chair from information received from hosting site.

  • Be at host facility early to set up prior to start of session. (30+ minutes before registration starts.)

  • Be prepared to assist with registration and welcoming members.

  • Be aware of other housekeeping issues such as: location of bathrooms, pop machines, smoking areas, etc.

  • Be prepared to give a short report at business meeting (numbers of people in attendance and update on site needs.)

  • Follow up with a “Thank you” note to the site.

  • Communicate with Education Chair for speakers needs (ex. A/V equipment, room set-up, etc.)

  • Prepare an Annual Report (Location, date) to be submitted at the year end board meeting, with a copy to the President.
